The Ocala City Council will issue a final vote this week on a $957,000, five-year lease for citywide copier and printer services with Canon, one of the largest providers of digital imaging solutions in the United States.

The agreement with Canon U.S.A., Inc., will come before the council during its regular meeting on Tuesday, August 19.

According to a city staff report, officials first approved a five-year lease with Canon in July 2020 that covered 89 multi-function production machines, which later expanded to 95.

The total projected cost of the new contract is just $957,096 for five years — roughly $191,000 per year — including $128,550 in fixed lease and software costs, and an estimated $62,800 annually for copy charges based on past usage.

The devices, which connect through Canon’s Uniflow server, handle copying, printing, scanning, faxing, and stapling across the city. They include secure printing features to protect sensitive documents.

The staff report suggests that the equipment has been used effectively with minimal issues, and that Canon’s support for toner, parts, and labor has been satisfactory.

Under the new five-year agreement, all machines would be replaced with updated models, with lease costs remaining fixed. The city would continue paying on a cost-per-copy basis, with service, labor, toner, and equipment moves included in the lease.

The contract would be executed through the Florida Department of Management Services’ statewide agreement with Canon, which has already been competitively bid and determined to provide best value, according to city staff.

The Ocala City Council next meets on Tuesday, August 19, at 4 p.m. at Ocala City Hall (110 SE Watula Avenue).
